Project Administrator
REPORTS TO: Senior Project Manager & Administration Manager
Monday to Friday – 08.00 to 17.00 – with one hour for lunch break
Working for large building services company candidates must have previous experience.
Duties
Provide all administration support within the Projects Dept
Produce and manage project files and spreadsheets in line with site requirements
Maintain detailed spreadsheets for all projects
To provide financial tracking
Ensure that all project filing is auctioned on a daily basis
Raising all project purchase orders and confirm to suppliers & subcontractors
Inputting above on Fusion
Preparation of spreadsheets for invoicing to client
Prepare quotations
Prepare works completed cost notifications
Prepare and update minutes of meetings
Ensure timesheets for staff are completed with the appropriate order numbers by each Monday 12 noon latest
Photocopy and highlight timesheets for filing
Update project spreadsheets on a regular basis
Archiving
Liaise with subcontractors if there should be any queries on the jobs
Chase suppliers for goods
Undertake other duties as reasonably requested

Good typing skills to include, Word, Excel, Microsoft Project
